A Gantt chart is a visual timeline of tasks that will help a team/individual to identify what tasks should be done and by when.  You can identify who is responsible for what, how long each task will take in line with the action plan and project charter.

Why use this tool?

The tool helps plan and schedule tasks within a project and identifies:

  • How long a project should take
  • When tasks need to be complete by
  • Identifies individuals who are responsible for specific tasks
  • Identify the order in which tasks need to be complete

How to use it

Before populating a Gantt chart, it is useful to agree:

  1. Operational definitions around status of each activity
  2. What timeline you are going to use (such as daily, weekly, monthly, quarterly)
  3. Colours you will use through the chart to populate timelines.

Once these have been agreed review all the actions required to achieve project goals within the action plan and with the Gantt chart template:

  • Identify and document the activity to be carried out
  • Identify who is responsible for carrying out the activity
  • What is the status of the task (Unassigned, assigned, in progress, complete)
  • Select a colour and duration for the task and populate the relevant box with the agreed colour to show duration
