Facilitator/ Lead area of the AHP Skills Maximisation toolkit – Stage 2: Capture Uniqueness  

Aim: This facilitator/ lead section of the toolkit aims to help you facilitate Stage 2: Capture Uniqueness using a workshop model.  

This stage encourages you to focus on the ‘right person’ part of the journey by identifying the unique contribution that qualified professionals make to the overall patient journey.

Workshop 2:  

Stage 2: Capture uniqueness 

There are two suggested workshops for this Stage 2: Capture Uniqueness. 

Part 1: Approximately 1 hour 

Part 2: Approximately 3-3½hours  

You will need to factor in time between part 1 and part 2.

2.1 Workforce Profiling  

In this step you and your participants identify and describe your current workforce. You identify what the workforce looks like now and any predicted changes.  It may be best to gather information and analysis in advance. Guidance and suggestions to consider can be found here:

2.2 Activity Analysis  

In this step you and your participants analyse the tasks associated with your chosen journey.  

You will need to factor in time following this workshop for the related tasks to be completed.

2.3 Identify Areas for Improvement:  

In this step you and your participants use the information you have gathered about the journey and identify areas which can be improved. 

Consider 

  • Will you need breaks added to the workshop? 
  • How will you record the outputs and actions? 

Next steps

Consider your next steps prior to Stage 3: Create Improvement 

  • Reflect on discussions
  • If needed, revamp the process map to the new desired journey based on feedback from service users and their families and carers. 
  • Use all information gathered to inform the next stage. 
Real stories

Occupational Therapy 

Various departmental tasks came under the spotlight when the OT department in one health board considered their activity analysis. The weekly role of allocating tasks was one traditionally rotated amongst all qualified members of the team. Recognising that this was not a task that required the unique skills of a qualified OT, this was changed so all team members take turns to undertake this allocation role – including support staff. The benefits have been not only releasing time for qualified staff but has led to better inclusion of support staff as team members, helped each team member’s understanding of the balance and priorities to be considered when allocating tasks throughout the team and, for newly qualified team members, helped underline the value and scope of the roles support staff play within the team.
