Can I register patients at a clinic in advance?

Yes, you can. However, the Turas Vaccination Management tool is a point of care web application it is not a scheduling tool. It does allow advance registration of patients. Please note these potential advance registration issues: 

  • you can't update patient registration details after registration, you’d have to remove them from the clinic list and start again
  • you may not know the patient's eligibility criteria which is a mandatory field
  • the patient's phone number is not a mandatory field and will remain blank unless known from another source 
If a patient's status is 'Registered' how do I remove them from the 'Clinic List'?

Find the relevant patient on the clinic list. Then click the actions dropdown and select 'Remove from list'. Only users assigned Registrant or Vaccinator roles can do this.

How do I remove a patient from the 'Clinic List' with different statuses?

Vaccinators
Vaccinators who completed the screening or vaccination steps can delete a vaccination episode with any of these statuses: 

  • Screening Incomplete (Draft)  
  • Screened 
  • Vaccination Incomplete (Draft)  
  • Completed 

Completed vaccinations can be deleted for 60minutes after the vaccination has been completed. 

Records Manager
Records Managers can delete a vaccination episode recorded at clinics within their Health Board. Vaccination episodes can be deleted with the following statuses: 

  • Screening Incomplete (Draft)  
  • Screened 
  • Vaccination Incomplete (Draft)  
  • Completed 

Completed vaccinations can be deleted if the completed date is less than 26 weeks since the vaccination was completed. 

Delete a vaccination episode by finding the relevant patient on the clinic list. Then click the ‘Actions’ dropdown and select 'Delete Vaccination'.

A reason for deleting the record must then be recorded. Only users assigned the Vaccinator or Record Manager user roles can do this.

Delete Vaccination is not supported for the following states:
Registered
‘Remove from List’ option will be used instead of ‘Delete Vaccination’.

In Progress (Screening)
‘Unlock’ action will be used to move to the Screening Incomplete (Draft) state before the user can delete the vaccination.

In Progress (Vaccination)
‘Unlock’ action will be used to move to the Vaccination Incomplete (Draft) state before the user can delete the vaccination.

In Progress (Amendment)
‘Unlock’ action will be used to move to the Completed state before the user can delete the vaccination*

Removed from List
Delete vaccination not valid.

Enter in Error
Delete vaccination not valid 
 

How do you record patients that did not attend (DNA)?

The Turas Vaccination Management tool is a point of care web application not a scheduling tool. But it does allow the advance registration of patients. 
 
You can remove a pre-registered patient that did not attend. Go to the clinic list and find the relevant patient. You can then select their 'Actions' dropdown and chose 'Remove from list'. Only users assigned Registrant or Vaccinator role can do this at present.  
 
Handling 'DNAs' is not required like a traditional outpatient clinic or GP surgery. People who were scheduled to attend for a vaccination but for whom no vaccine event was recorded in the VMT will continue to show as unvaccinated. Recall for them will be handled centrally.   
 
Note: If you register patients as they arrive at a clinic you would not register patients that did not attend.
